What should I say to introduce Famileo?

Family members need to see they will benefit from Famileo. It will help them stay close to their loved one very easily, by posting messages & pictures on a private family network. Remind them the service is completely free & secure, offered by your facility and managed by your team. Make sure they understand the facility can also communicate on Famileo to give them daily updates about events & activities happening.

What are the best ways to communicate about Famileo?

Use your usual communication channels and the best way you have found to reach out to families. They need to know your facility has subscribed to a new free service and that they can ask you anytime for further information. Click here to see our email and social media templates that you can send to the families.

We also recommend you to include flyers, examples of gazettes and our family letter in your residents’ registration pack so families quickly get an introduction of the service. Talk about Famileo anytime you get a chance to do so, during family meetings or tours of the facility.

 

How to share family codes?

Talking face to face with families about the service is the best way to get their attention and to offer your help whenever needed. Use our flyers to write down family codes and hand them out directly to the families. You can also inform them about Famileo by phone or send emails.

We also created personalized invitations to sign up to Famileo in your residents’ profile. Click on your resident’s profile and click on 'Send invitation'. Enter the resident’s main contact’s email address and click on 'Send'. This invitation gathers all the information they need about Famileo, including the link their sign-up window, their family code and the Famileo team contact details if needed.

Who should I share the family code with?

Concentrate on relatives you know would be interested in using Famileo, preferably the ones who visit their loved one regularly at your facility or those living far away. They will be responsible for sharing the family code with other family members who they think would love to participate in their loved one’s gazette.

If possible, please contact the grandchildren in the first place as they might be more tech-savvy than the children of the residents.

How to make sure that families register?

Make sure you communicate about Famileo in an efficient and reassuring way. For tips and advice on how to do so, please check out our guide on how to launch Famileo.
Share our tutorials on how to sign up and post messages in the gazettes with them. They will create their account in no time thanks to these easy guidelines!

But we mostly recommend you to take some time with family members and show them directly how to register. It is fast and easy and they will feel reassured to do it with you.

How to make sure that families post regularly in the gazettes?

Writing messages to all will motivate families to do the same on their gazettes. It will remind them regularly they registered to the service and that it takes no more than a few minutes to bring happiness to their loved one by writing in the gazettes.

Regularly share a few tips with them about what to post in the gazettes (old pictures, games, daily activities...) to keep them inspired. Keep communicating about the program and try to get more families members or friends involved as anyone related to the residents can participate in their gazettes! Following up with families that you have recently contacted about Famileo is most important.

Questions frequently asked by families

How do I sign up?

Connect to the Famileo website (www.famileo.com) or the Famileo app. Click on 'Sign up' and enter the family code and your relationship with your loved one. Easily create your profile and validate your logins. You’re all set!

How do I publish a message/picture?

Connect to your Famileo account on the website. Type your message in the ‘Write your message here’ box, attach your picture and Click on 'Publish'.

Or go to your Famileo app, log in and tap on the round orange button with the sheet and crayon at the bottom of your screen and publish your message. Your message is posted on your family wall!

How can other family members join?

At the top right of the main page, click on 'Invite participants'. Enter an email and click on 'Add'. You can add a little note to explain the purpose of this invitation and click on 'Send'. You can also choose to give them the family code.

Is there a limited number of family members that can join?

The limit is 60 family members per family.

How many posts can be published in a gazette?

Each gazette can include up to 30 messages and pictures.

Can my family get a copy of the gazettes?

Of course! On the menu bar, click on 'Gazettes' and check out the list of all the gazettes you’ve been sending to your loved one. You can download them as a PDF file and then print or share them at your convenience.

What is the community wall?

A dedicated space for the facility to share news about the daily events and activities with family members. Only registered families will be able to see the messages.

Are the messages sent by the facility included in the gazette?

No. Only messages posted by family members on the Family wall will be included in the gazette as it is a personalized and dedicated space for families.

Challenges you could face to enroll families

Residents with dementia: families might not see the purpose of using Famileo

Especially in medium or severe dementia cases, some of the family members might tell you that they don’t see the purpose of a newspaper with family news and pictures, as their loved one doesn’t recognize any family members anymore. In these cases, it is important to mention the following facts:

  • Famileo is a dementia-oriented and well-being tool and will be used by the staff to reminiscence about the resident’s past, about things they enjoyed doing, places they lived, about their children when they were younger, colours, scents, etc. It has been proven that Famileo really triggers memories or reactions (eye or hand movement), even in the most severe dementia cases.

  • Famileo gives the family members something to hold on to. It is already hard enough for them to see their loved one going through dementia. Thanks to Famileo, they might feel like they can do something in these difficult times.

  • The fact that their loved one has dementia might make families feel less comfortable to visit (especially grandchildren). If they make gazettes for their loved one, they can take them off the shelf and go through them with their loved one themselves as well. They might not always get a reaction in more severe cases, but that one time that they will, will be unforgettable for them. You will see that visits will be more frequent and longer.

Residents with eye-sight issues: families might think the service is not adapted

Residents with eye-sight issues can definitely receive gazettes as well! It is important that Activity Leaders, nurses, carers, chaplains etc. will sit down with the residents that need help to read the gazettes, to read the text with them or for them or to describe the pictures that have been published. These staff members will be able to get to know the residents and their families better this way, and they will have the best Famileo task one can possible have: passing on the beautiful messages of love to the residents.

Family members who frequently visit: they might not be interested to participate in a gazette

You might have family members that visit their loved one several times a week, which is fantastic! Unfortunately, this might be a reason for them to not see the purpose of Famileo for them and their loved one. Whenever you would have a case like this, please feel free to tell them the following facts:

  • Things that have been discussed during visits will be forgotten over time.
  • The resident will not have visits 24/7 and in most cases not even more than twice a week. The gazette will give the resident something to take off the shelf whenever they are alone in their room. They can take a look at it anytime - during their morning coffee, afternoon tea, or before they go to bed, and have a good laugh or just feel surrounded by love.
  • The gazette will give families that visit more to talk about which will make visits longer and more frequent.
  • Not all family members visit the resident, most probably. Famileo is a great way for all family members within one family to keep the resident up-to-date and also for them to see what siblings, cousins, etc. are being up to. It is important to put your focus on the family members that live far away. Feel free to ask the person you talk to for the contact details of their family members.

Family members not at ease with technology: they don’t feel comfortable signing up for Famileo

This is quite a common challenge that some facilities face, as the children of the residents, which are the ones that visit the residents most, are often less tech-savvy or even technophobic.
It is important that you explain to them that Famileo is a free and private newspaper on paper with pictures and messages from their family only, that you show them an example of a gazette, and that you tell them that you would love to try this new free service with their family. Try not to mention the app straight away as they might think that it is too difficult to use or too time-consuming for them.

  • Whenever a less tech-savvy family member still doesn’t want to use Famileo, that is completely fine of course, but please feel free to tell them that they might not be interested, but maybe some of her family members like a sister, cousin or child might be.
  • It is highly recommended to put your focus on the grandchildren or great-grandchildren as they will be more likely to be at ease with modern technology. If you don’t have their contact details, feel free to kindly ask their parents for them.

  • Always offer your or the Famileo Advisor’s assistance as well to help the less tech-savvy family members to sign up and get started. It is important to always have the family codes near, in a drawer at the reception desk for example.

  • Also feel free to mention that you will send the families messages and updates about their loved one as well through Famileo. This will motivate families even more to sign up.

The resident has a smartphone or tablet: they already stay up-to-date through WhatsApp

It is great if the resident knows how to use modern technology! Residents can log in to their own Famileo account by downloading the app or going to www.famileo.com/login and by entering their family code followed by @famileo.com as an email address, and the 8 numbers of their date of birth as a password.
Also, WhatsApp is a lovely way to stay up-to-date, but it is very difficult to find the pictures back and not very likely that the resident will go through the pictures of their photo gallery very often. Receiving something on paper is always lovely and definitely better.
